# Ready-Made Automation Rules

> Turn on Reevo's ready-made rules to update account stages, set contact statuses, and create opportunities automatically, without building a workflow.

## Overview

Ready-made automation rules keep your CRM up to date as your team works, with no workflow building. Each rule waits for one moment, such as an account's first activity or a closed-won deal, and then updates the record for you. An admin turns the rules on, picks the stages and statuses each one uses, and can copy any rule into a normal workflow to change it further.

Rules live on the **Automations** tab of each object's settings:

| Tab | What its rules do |
| :- | :- |
| [**Settings → Accounts → Automations**](https://app.reevo.ai/settings/accounts?tab=automations) | Move an account's stage, and optionally its type, as activities, deals, and contact statuses change. |
| [**Settings → Contacts → Automations**](https://app.reevo.ai/settings/contacts?tab=automations) | Set a contact's status when it joins an opportunity. |
| [**Settings → Opportunities → Automations**](https://app.reevo.ai/settings/opportunities?tab=automations) | Create an opportunity when a meeting is booked with an account that has none open. |

> [!NOTE]
>
> Only admins see the **Automations** tab. Rules use the stage, type, status, and pipeline options your org already has, so set those up first. See [Account and Contact Lifecycle Stages](https://help.reevo.ai/CRM-configurations/Account-and-Contact-Stages.md) and [Contact Status](https://help.reevo.ai/CRM-configurations/Contact-Status.md).

## The rules

This section lists **3 sets of rules**, one per tab. The defaults shown are what Reevo picks when your org has stages and statuses with these names. You can change every one of them.

### 1. Account lifecycle stages

| Rule | When | Default starting stages | Then |
| :- | :- | :- | :- |
| **First activity** | The first activity is logged for the account. | Untouched | Moves the account to **Working**. |
| **First opportunity** | An opportunity is created on the account. | Untouched, Warm, Working | Moves the account to **Selling**. |
| **First closed won** | An opportunity on the account is closed won. | Any stage | Moves the account to **Onboarding** and sets its type to **Customer**. |
| **All closed lost** | The last open opportunity on the account is closed lost. | Every stage except Nurture | Moves the account to **Nurture**. |
| **Contact hand raise** | A contact's status changes to **Hand Raise / Warm**. | Untouched, Nurture | Moves the contact's primary account to **Warm**. |
| **Contact worked** | A contact's status changes to **Working**, **Engaged**, or **Meeting Booked**. | Untouched, Warm, Nurture | Moves the contact's primary account to **Working**. |

A rule only runs when the account is in one of its starting stages, so the rules move accounts forward and never undo each other.

### 2. Contact status rules

| Rule | When | Then |
| :- | :- | :- |
| **Contact added to opportunity** | A contact is added to an opportunity that is still open. | Sets the contact's status to **Opportunity**. |
| **Opportunity created** | An opportunity is created with contacts on it. | Sets each of those contacts' status to **Opportunity**. |

### 3. Opportunity creation rules

| Rule | When | Then |
| :- | :- | :- |
| **Meeting booked** | A meeting with a contact is booked on an account that has no open opportunity. | Creates an opportunity named after the account and the meeting, owned by the account owner, with a close date 30 days after the meeting. |

The rule skips rescheduled meetings and meetings already linked to an opportunity, so an account never gets more than one open opportunity from it. It starts on your default pipeline and its first open stage.

## Turn rules on

1. Open the **Automations** tab for the object.
2. Click the switch on the rule set's card to turn on every rule in it, or click **Edit rules** and turn rules on one at a time.
3. Confirm in the dialog.

> [!NOTE]
>
> Rules run under the name of the admin who turned them on. Records they change show that admin as the editor in history, and opportunities they create show that admin as the creator. Another admin takes a rule over by turning it on again.

Rules react to activities, deals, and meetings from the moment they're turned on. They don't go back over records you already have. To bring existing accounts or contacts up to date once, contact Reevo support and we'll run it for your organization.

> [!TIP]
>
> **Setting up a new workspace?** When an admin finishes onboarding, Reevo turns on the account lifecycle and contact status rules with their defaults. The **Meeting booked** rule creates records, so it stays off until you turn it on.

## Change a rule

Click **Edit rules** on the tab. Each rule shows the settings it uses, and changes save as you make them.

| Setting | What it does |
| :- | :- |
| **Only if account stage is** | The starting stages. The rule ignores accounts in any other stage. |
| **Set account stage to** / **Set account type to** | Where the rule moves the account. Choose **Leave unchanged** to skip one of them. |
| **Enforce account stage entrance criteria** | Only moves accounts that meet the target stage's entrance criteria. |
| **When contact status changes to** / **Set contact status to** | The statuses a contact rule reacts to, or the one it sets. |
| **Create opportunity in pipeline** / **At stage** | Where the **Meeting booked** rule creates opportunities. |

To go back to Reevo's settings, click **Reset to defaults**. Rules that are on stay on, rules that are off stay off, and rules you customized are left as they are.

## Customize a rule in Workflows

When a rule needs more than its settings allow, copy it into a workflow you can edit:

1. Click **Customize in Workflows** and select the rule.
2. Click **Create copy**. The copy opens as a draft in the object's automations folder on the [Workflows](https://app.reevo.ai/workflows) page, for example **Account automations**.
3. Edit the draft in the [Workflow Builder](https://help.reevo.ai/Automations-and-Workflows/Workflow-Builder.md) and launch it.

The ready-made rule keeps running until the copy launches, then turns off and shows as **Customized**. Improvements Reevo makes to the rule later don't apply to your copy. To use the ready-made rule again, delete the workflow in Workflows, then turn the rule back on.

## See a rule in Workflows

Once a rule has been turned on, it also appears in its automations folder on the [Workflows](https://app.reevo.ai/workflows) page, so you can see its steps and open its run history. These ready-made workflows are read-only there. To change one, click **Manage in settings**, which opens its **Automations** tab.

## Rule statuses

| Status | What it means and what to do |
| :- | :- |
| **Needs setup** | The rule is missing a stage, status, or pipeline, usually because your org has no option with the default name. Click **Edit rules** and pick one. |
| **Paused** | The rule failed three runs in a row and stopped itself. Fix the cause, then click **Resume rule**. |
| **Owner left** | The admin who turned the rule on left the org, so it's off. Turn it on to take it over. |
| **Copy drafted** | A draft copy exists in Workflows. The rule keeps running, and its settings and switch are locked until the copy launches or you click **Discard copy**. |
| **Customized** | A launched workflow replaced the rule. Edit the workflow in Workflows instead. |

## Troubleshooting / FAQs

> [accordion] Do ready-made rules use workflow credits?
>
> Yes. Each rule run counts as a workflow run. If your workspace has no workflow credits, or has used them up for the period, the **Automations** tab shows a banner with a link to your usage. Rules that paused while credits were used up stay paused; once credits are restored, click **Edit rules** and choose **Resume rule** for each.

> [accordion] I don't see the Automations tab
>
> The tab is only shown to admins. Ask an admin in your workspace to open it.

> [accordion] I can't deactivate a stage or type option
>
> A rule that uses an option blocks deactivating it. The dialog names the rule as **Lifecycle rule** and links to its **Automations** tab. Change the rule to use a different option, then deactivate it.

> [accordion] An account didn't move when I expected it to
>
> Check that the account was in one of the rule's starting stages when the event happened, and that the rule was on at the time. Rules don't apply to activities or deals from before they were turned on. If **Enforce account stage entrance criteria** is on, the account must also meet the target stage's criteria.
