# User Fields

> Add a custom field that stores one or more people from your workspace on a record, such as a solutions engineer or customer success manager, then filter records by who is assigned.

## Overview

A User field is a custom field that stores people from your Reevo workspace instead of typed text. Use it to record who plays a role on a record beyond its owner, such as:

* The solutions engineer on an opportunity
* The customer success manager for an account
* Everyone on a deal team

Because the field holds real teammates, you can filter any list to the records where a specific person, or you, is assigned.

### At a glance

| Detail | Summary |
| :- | :- |
| **Where** | Settings, on the object's field settings |
| **Who can create it** | Admins only |
| **Applies to** | Accounts, Contacts, Opportunities, and custom objects |
| **Holds** | One person, or a list of people if you turn on **Allow multiple people** |
| **Who can be selected** | Active users in your workspace who have a first and last name |
| **Locked after creation** | Field type and **Allow multiple people** |

***

## Before you start

Only admins can create custom fields, including User fields.

Decide whether each record needs one person or several before you create the field. You can't switch a User field between one person and multiple people later.

The people you want to select must be active users with both a first and last name on their profile. See [Users, roles and teams](https://help.reevo.ai/Getting-started/Organizational-Account-Settings/Users-Roles-and-Teams.md) to check a user's status and profile.

## Create a User field

1. Click **Settings** in the left sidebar and select the object you want to add the field to, for example [Accounts](https://app.reevo.ai/settings/accounts), [Contacts](https://app.reevo.ai/settings/contacts), or [Opportunities](https://app.reevo.ai/settings/opportunities).
2. Click **Add field**, then select **Create custom field**.
3. Enter a **Field name**, for example "Customer success manager".
4. In **Field type**, select **User**.
5. To store more than one person on each record, turn on **Allow multiple people**. Leave it off to store one person.
6. Click **Create**.

> [!WARNING]
>
> You can't change the field type or the **Allow multiple people** setting after you click **Create**. To switch a field between one person and multiple people, create a new User field.

To show the new field on the record's Overview tab, turn on **Add to Overview** while you create it. See [Custom Fields](https://help.reevo.ai/CRM-configurations/Custom-Fields.md) for other ways to place a field on your layouts.

## One person or multiple people

| | One person | Multiple people |
| :- | :- | :- |
| **Setting** | **Allow multiple people** off | **Allow multiple people** on |
| **Good for** | A single role, such as an account's CSM | A group, such as a deal team |
| **Filter options** | includes any, is none of, empty, not empty | includes any, excludes all, is blank, is not blank |
| **Bulk edit** | Yes | No |

## Fill in a User field on a record

Open a record, click the User field, and search for a teammate by name. Select the person to add them. On a multiple-people field, keep selecting to add more people.

Selecting someone in a User field doesn't change who owns the record, and it doesn't give that person access to it. Record access follows your roles and the record owner. See [Access Controls](https://help.reevo.ai/Admin-and-Security/Access-Controls.md).

## Filter records by a User field

In a list view, add a filter, choose your User field, then pick an operator and the people to match. The person picker lists **Me** first, followed by your name, so you can build a list of the records assigned to you. For example, filter Accounts where **Customer success manager** includes any **Me** to see every account you manage.

The operators depend on whether the field holds one person or multiple people:

| Operator | One person | Multiple people |
| :- | :- | :- |
| Match any selected person | includes any | includes any |
| Exclude the selected people | is none of | excludes all |
| No one selected | empty | is blank |
| Someone selected | not empty | is not blank |

You can't sort a list by a User field.

***

## Import and export User fields

**CSV import:** Map your column to the User field and enter each person's email address. Reevo also accepts a person's full name when only one teammate has that name. For a multiple-people field, separate each person with a semicolon (`;`), for example `ana@yourco.com; ben@yourco.com`. If Reevo can't match a value to a teammate, the import reports an error that names the value it couldn't match. See [Import via CSV](https://help.reevo.ai/Data-management-and-migration/Import-via-CSV.md).

**CSV export:** User fields export as each person's email address, with multiple people separated by semicolons.

## Troubleshooting / FAQs

> **Why can't I find someone in the User field picker?**
>
> The picker lists only active users who have both a first and last name. Ask an admin to check that person's status and profile under **Settings > Users, roles and teams > Users**.

> **Can I change a User field from one person to multiple people?**
>
> No. **Allow multiple people** is locked once the field exists. Create a new User field with the setting you need. To carry values over, export the records to CSV, then import the exported emails into the new field.

> **Does adding someone to a User field let them see the record?**
>
> No. A User field records a role, not a permission. What each person can see follows their role and the record owner. See [Access Controls](https://help.reevo.ai/Admin-and-Security/Access-Controls.md).

> **Why can't I bulk edit my User field?**
>
> Bulk edit works on User fields that hold one person. Fields with **Allow multiple people** turned on can't be bulk edited, so update them on each record or with a CSV import.

> **Can I make a User field unique?**
>
> No. User fields can't be unique. See [Unique Fields](https://help.reevo.ai/CRM-configurations/Unique-Fields.md) for the field types that can.

> **Can I use a User field in email templates and sequences?**
>
> Yes. A contact or account User field inserts the person's name, or their email if their profile has no name. A field with multiple people inserts each name, separated by a semicolon.

> **Can I use User fields in workflows?**
>
> Yes. You can use a User field in workflow conditions and in steps that update account and contact records.
