Overview
Custom datasets let you combine and transform Reevo’s standard datasets to match your unique reporting needs. By creating custom datasets, you can join multiple data sources, add calculated fields, and build reusable data foundations for complex reports. This feature is valuable when:- You need to combine information from multiple CRM objects (e.g., opportunities with contact details and account information)
- You want to create calculated metrics that don’t exist in standard datasets
- You’re building multiple reports that share the same underlying data structure
- Your team needs consistent metrics across different dashboards
Note: Creating a custom dataset requires admin permissions. If you don’t have admin access, you won’t be able to create one and will see the message: “Admin access required. Only admins can create custom datasets.”
Step-by-Step Instructions
1. Starting a New Custom Dataset
- Go to Reporting and select the Datasets tab
- Click Create Dataset or the plus icon
- The dataset builder opens with two main sections: configuration panel (left) and preview area (right)
2. Selecting Your Data Sources
- In the configuration panel, you’ll see two tabs: Sources and Columns
- Start on the Sources tab
- You’ll see the prompt: “Choose a primary data source to establish the basis for your dataset”
- Select your primary dataset from the dropdown (e.g., Opportunity if building opportunity-related reports)
- The system marks this as your Primary dataset with a badge
3. Adding Related Datasets (Optional)
- After selecting your primary dataset, you can add up to 10 additional datasets through joins
- Click Add in the “Additional Datasets” section
- The system shows available relationships based on your current selection
- Choose which dataset to join (e.g., add Account to get company information alongside opportunities)
- Repeat to add more datasets as needed
“You can add a maximum of 10 joins to a dataset.”
4. Configuring Columns
- Switch to the Columns tab
- You’ll see all available fields from your selected datasets
- Choose which fields to include in your custom dataset
- Add calculated fields if needed by defining formulas
- Rename fields for clarity
- Set up field descriptions to help report builders understand each column
5. Previewing and Saving
- The preview area on the right shows a sample of your dataset structure
- Verify the columns and data look correct
- Give your dataset a meaningful name (e.g., “Opportunities with Account Details”)
- Add a description explaining what the dataset contains and when to use it
- Click Create to save
