These booking methods help sales teams streamline scheduling, eliminate back-and-forth emails, and automatically capture meeting data in your CRM. There are three primary ways to book meetings in Reevo:
  1. Scheduling Links - Share personalized booking links that let prospects self-schedule based on your availability
  2. Direct Meeting Creation - Manually schedule meetings from within Reevo (from contact pages, pipeline stages, or the calendar)
  3. Calendar Sync - Meetings created in your connected Google Calendar automatically sync to Reevo
All booked meetings flow into your Upcoming Events page in Reevo, where they’re automatically enriched with contact information, company research, and recording capabilities.

Step-by-Step Instructions

Scheduling links are ideal for outbound prospecting, email campaigns, and any scenario where you want prospects to self-schedule.
  1. Navigate to the Upcoming events page in Reevo
  2. Click Scheduling Links in the top right corner
  3. Share the link via email, sequences, or your website

  • The prospect selects an available time slot from your calendar
  • Both you and the prospect receive confirmation emails with meeting details
  • The meeting appears on your Upcoming Events page in Reevo
  • The meeting syncs to your connected Google Calendar
  • Reevo automatically creates contact records for all attendees
  • If auto-record is enabled, the meeting bot will join automatically

Method 2: Schedule Meetings Directly in Reevo

Use this method when working with existing contacts in your CRM, especially during pipeline progression.
  1. Navigate to a contact page, account page, or opportunity in your pipeline
  2. Click Schedule meeting
  3. Select the meeting participants (contacts with email addresses)
  4. Choose the date, time, and duration
  5. Add a meeting title and description
  6. Select your conferencing provider
  7. Click Create to send calendar invitations
What happens after creation:
  • Calendar invitations are sent to all participants
  • The meeting appears on your Upcoming Events page
  • The meeting syncs to your Google Calendar
  • The meeting is automatically linked to the relevant contact, account, and opportunity records in Reevo

Method 3: Sync Meetings from Google Calendar

Any meeting you create directly in Google Calendar will automatically sync to Reevo if it meets certain criteria. Automatic sync behavior:
  • Meetings with external attendees (non-team members) sync to Reevo
  • Reevo creates contact records for external attendees based on your activity capture settings
  • The meeting appears on your Upcoming Events page
  • You can manually enable/disable the recording bot for each synced meeting
To manually add the recording bot to any meeting:
  1. Go to your Upcoming Events page
  2. Click on the meeting card
  3. Open the Meeting Details panel
  4. Toggle the recording bot on or off
  5. For meetings already in progress, click “Want to add it now? Click here” to join the bot immediately
Alternative: Invite the bot via email You can also add the meeting bot by including its email address in the calendar invitation. To find your bot email:
  1. Go to Settings > Meetings
  2. Copy the Meeting Notetaker email address
  3. Add it to any calendar invitation as an attendee
Important notes:
  • The bot must be invited via the calendar invitation to join successfully. Adding it directly in Google Meet or Zoom will not work.
  • Your calendar must be synced with Reevo and the event must appear on your Upcoming Events page for the bot to join.
  • Adding the notetaker to a meeting will create contacts and record the meeting regardless of your recording settings.

Troubleshooting / FAQs

That host’s available time slots will disappear from the scheduling link until the calendar connection is restored.
You need calendar integrations connected to create meetings. Go to Settings > Integrations to connect your Google Calendar.
The contact must have an email address to schedule a meeting. Add an email to the contact record first.
With auto-record enabled, the Reevo meeting bot joins your Zoom or Google Meet call automatically and records it. The recording is then processed for transcription, AI insights, and searchable content.
The bot can only join if the meeting appears on your Upcoming Events page in Reevo. Check that your calendar is synced and the event is visible. If the event is there, you can manually invite the bot by toggling recording on or adding the bot email to the calendar invitation.
It depends on your activity capture settings. However, meetings booked via Reevo Scheduler (scheduling links) always create contacts regardless of your settings.
