Overview
Reevo’s Activity Capture feature automates the creation of contacts and accounts based on your calendar and email interactions. Depending on your organization’s configuration, Reevo can automatically create records for new people you interact with and capture meeting details using a recording bot. This ensures critical sales activity is always documented and accessible without manual effort.
Basic concepts & terminology
- Activity Capture Mode: Controls when and how Reevo creates new contact/account records based on interactions.
- Meeting Recording Mode: Defines what types of meetings are recorded by Reevo’s notetaker bot.
- Reevo Bot Assist: A meeting notetaker bot that joins scheduled calls to record and log activity.
- Sales Meetings: Meetings that include at least one external contact from your Reevo instance.
- Internal Meetings: Meetings that only include participants from your organization’s domain.
- Blocklist: A list of email domains or addresses excluded from automatic record creation (e.g., gmail.com).

Note: Admin access is required.
How to
1. Set Up Record Creation Mode
- Go to Settings → Record Creation.
- Choose one of the four available modes:
- Capture All: Create records for every person you interact with.
- Existing Accounts: Only create records for people tied to accounts already in Reevo.
- Outbound Only: Only create records for interactions you initiate.
- Do Not Capture: No automatic creation; records must be created manually.
2. Configure a Blocklist
- In the same settings panel, add specific domains or email addresses to the blocklist.
- These will be excluded from automatic record creation regardless of mode.
- Public domains like
gmail.com
andyahoo.com
are blocked by default.
3. Set Up Meeting Recording Mode
- Under “Meeting Recording,” choose which meeting types to record:
- Sales Meetings (default): Meetings with at least one external contact.
- Internal Meetings: Optional, for meetings with only internal team members.
- If you do not select Sales Meetings, you will be warned about missed recordings.
4. Use Reevo Bot Assist
- Go to meeting recording settings to copy your bot email address.
- Add the bot email to any meeting invite manually.
- The bot will join at the scheduled time to record the meeting.
- Contacts and accounts may be created from attendees if enabled.
FAQs
Can I control activity capture at the user level?
Not yet. Activity capture settings are currently managed at the organization level. User-level controls are planned for the future.
What happens if a user hasn’t connected their Google account?
They’ll see a warning prompting them to connect it, but they can still change mode settings.
What if I don’t want certain domains recorded?
You can block specific domains or emails using the blocklist feature in settings.
How quickly are records created after an interaction?
There may be a short delay before newly created contacts/accounts appear due to asynchronous processing.
What happens with legacy meeting sync?
That behavior—where contacts were created without linked accounts—has been deprecated.
