Overview

Reevo’s Calendar Link Management allows you to create, manage, and personalize booking links for meetings. These links streamline scheduling with prospects by enabling them to select a time that works for both parties—no back-and-forth emails required.

You can create multiple links for different types of meetings, set availability preferences, and route meetings based on ownership, round robin, or territory logic.

Basic concepts & terminology

  • Booking Link: A unique URL that prospects can use to book time with you or your team.
  • Meeting Types: Preset durations for different types of meetings (e.g., 15, 30, 45, 60 minutes).
  • Routing Logic: Rules that determine who the meeting is assigned to—based on ownership, round robin, or territory.
  • Availability Settings: Define when you’re available for meetings and how far in advance they can be booked.
  • Routing Pages: Pages that route meetings to the right team member based on logic or rules.

Where to find it

  1. Go to the upcoming meetings page via the left hand navigation
  2. Click on share availability
  3. Click on manage calendar links
  4. Edit an existing link or click “new link” to create a new one

How to

Create a calendar link by, clicking on new link on the calendar links page.

  1. Configure the basic info:

    1. Name - how you want to name the link and type of meeting (e.g. 30 minute call)
    2. Meeting title - the external name for your meeting link that others will see. This can be personalized
    3. Description
    4. Duration
  2. Select your conferencing app based on your integration (Google Meet or Zoom)

  3. Ensure auto-record is turned on so that the meeting bot will automatically join your call

  4. Choose how hosts are assigned:

  5. Select your timezone

  6. Set your availability, buffer times, and how far in advance you want to allow users to book

  7. Click create and copy your public URL to share with others

Best Practices

  • Create separate links for different meeting types.
  • Add buffers to avoid back‑to‑back fatigue.
  • Test each new link by booking yourself once.
  • For teams, choose Round Robin → Max Fairness to balance workload.

FAQs

Can I change a link after bookings exist? Yes. Existing events stay as‑is; new bookings follow the updated settings.

What if a host disconnects their calendar? That host’s slots disappear until the connection is restored.

How do recordings work? With Auto‑record enabled, the call is recorded in Zoom or Google Meet and automatically attached to the Reevo session.
