Overview

Manage the Reevo Meeting Bot directly from your meeting interface. Whether you’re planning ahead or starting a meeting on the fly, you now have more flexibility in deciding when and how the bot joins your meetings.

When a meeting is created, the bot is automatically scheduled to join based on the meeting’s sync settings. However, there are situations where users may prefer not to have the bot present—such as when discussing confidential matters that shouldn’t be captured in CI. On the other hand, some meetings may not have the bot scheduled by default, but users might decide they want it to join.

You can:

  • Enable or disable the bot for any upcoming meeting, even at the last minute.
  • Instantly invite the bot to a meeting that’s already in progress.
  • Receive clear error messages if the bot is unable to join a meeting.

Basic concepts & terminology

  • Meeting bot- a bot that will join you video calls (Google Meet, Zoom, or Teams) to record your meeting.
  • Meeting details- the third tab of the panel that opens on the right hand side of your screen when you click on any meeting in your meetings page.
  • Meetings page- this is where you will find all your meetings. Simply click on upcoming meetings in the left hand navigation and you will see a list of all your meetings.

Where to find it

You can manage the Reevo Bot from the meeting details panel of any meeting. Just open a meeting from the meetings page (or anywhere you see meeting cards).

How it works

Turn the Bot On or Off Before the Meeting Starts

If you’re organizing or participating in a scheduled meeting:

  1. Open the Meeting Details panel.
  2. Use the toggle switch to enable or disable the bot.
    • When enabled, the bot will join at the scheduled time.
    • When disabled, the bot will skip the meeting.
  3. You can change this anytime before the meeting begins.

Instantly Add the Bot to a Meeting in Progress

Need the bot to join a meeting that’s already started?

  1. Open the Meeting Details panel.
  2. If the bot is enabled, click: “Want to add it now? Click here”
  3. The Reevo Bot will join the meeting right away.

What Happens If the Bot Can’t Join?

In rare cases, the bot might be rejected from the meeting (e.g., if the host denies it access).

  • You’ll see an error message in the Meeting Details panel explaining why the bot couldn’t join.
  • Use the message to take further action or contact support if needed.
