Overview

A User field is a custom field that stores people from your Reevo workspace instead of typed text. Use it to record who plays a role on a record beyond its owner, such as:
  • The solutions engineer on an opportunity
  • The customer success manager for an account
  • Everyone on a deal team
Because the field holds real teammates, you can filter any list to the records where a specific person, or you, is assigned.

At a glance

Before you start

Only admins can create custom fields, including User fields. Decide whether each record needs one person or several before you create the field. You can’t switch a User field between one person and multiple people later. The people you want to select must be active users with both a first and last name on their profile. See Users, roles and teams to check a user’s status and profile.

Create a User field

  1. Click Settings in the left sidebar and select the object you want to add the field to, for example Accounts, Contacts, or Opportunities.
  2. Click Add field, then select Create custom field.
  3. Enter a Field name, for example “Customer success manager”.
  4. In Field type, select User.
  5. To store more than one person on each record, turn on Allow multiple people. Leave it off to store one person.
  6. Click Create.
You can’t change the field type or the Allow multiple people setting after you click Create. To switch a field between one person and multiple people, create a new User field.
To show the new field on the record’s Overview tab, turn on Add to Overview while you create it. See Custom Fields for other ways to place a field on your layouts.

One person or multiple people

Fill in a User field on a record

Open a record, click the User field, and search for a teammate by name. Select the person to add them. On a multiple-people field, keep selecting to add more people. Selecting someone in a User field doesn’t change who owns the record, and it doesn’t give that person access to it. Record access follows your roles and the record owner. See Access Controls.

Filter records by a User field

In a list view, add a filter, choose your User field, then pick an operator and the people to match. The person picker lists Me first, followed by your name, so you can build a list of the records assigned to you. For example, filter Accounts where Customer success manager includes any Me to see every account you manage. The operators depend on whether the field holds one person or multiple people: You can’t sort a list by a User field.

Import and export User fields

CSV import: Map your column to the User field and enter each person’s email address. Reevo also accepts a person’s full name when only one teammate has that name. For a multiple-people field, separate each person with a semicolon (;), for example ana@yourco.com; ben@yourco.com. If Reevo can’t match a value to a teammate, the import reports an error that names the value it couldn’t match. See Import via CSV. CSV export: User fields export as each person’s email address, with multiple people separated by semicolons.

Troubleshooting / FAQs

The picker lists only active users who have both a first and last name. Ask an admin to check that person’s status and profile under Settings > Users, roles and teams > Users.
No. Allow multiple people is locked once the field exists. Create a new User field with the setting you need. To carry values over, export the records to CSV, then import the exported emails into the new field.
No. A User field records a role, not a permission. What each person can see follows their role and the record owner. See Access Controls.
Bulk edit works on User fields that hold one person. Fields with Allow multiple people turned on can’t be bulk edited, so update them on each record or with a CSV import.
No. User fields can’t be unique. See Unique Fields for the field types that can.
Yes. A contact or account User field inserts the person’s name, or their email if their profile has no name. A field with multiple people inserts each name, separated by a semicolon.
Yes. You can use a User field in workflow conditions and in steps that update account and contact records.
