Walk Into Every Meeting Fully Prepared

Pre-Meeting Prep is an AI-powered feature that helps you prepare for upcoming sales conversations by analyzing everything Reevo knows about your prospects, accounts, and past interactions. The system reviews previous conversations, company information, contact details, and related opportunities to create a personalized strategy document with talking points, insights, and recommended approaches. This feature saves time by automatically surfacing the most relevant context before each meeting, ensuring you walk into every conversation fully prepared and confident. Pre-Meeting Prep is particularly valuable for complex deals with multiple stakeholders, long sales cycles, or when meeting with new contacts at existing accounts. The generated preparation includes sections such as company research and intelligence, key stakeholders, ice breakers, pain hypotheses, discovery questions, key talking points, objections and rebuttals, next steps, and value alignment. Content is presented in an easy-to-scan format with clear section headings.

Prerequisites

Before you can generate Pre-Meeting Prep, the following conditions must be met:
  • The meeting must have a scheduled start time
  • The meeting status cannot be canceled or completed
  • The meeting cannot be marked as private
  • The meeting cannot be marked as a no-show
  • The meeting must be a video or in-person meeting (phone calls are not eligible)
  • The meeting must include at least one external participant, Pre-Meeting Prep is not available for internal-only meetings

What Reevo Uses to Generate Your Prep

Pre-Meeting Prep pulls from a wide range of CRM and conversation context so the strategy reflects what you already know about the deal. At a high level, Reevo includes:
  • Account info: company name, industry, size, and recent activity
  • Related opportunities: stage, amount, and close date
  • Contact and attendee details: roles, email addresses, and LinkedIn profiles when available
  • Sales qualification signals: MEDDPICC fields such as metrics, economic buyers, decision criteria, and identified pain points
  • Past meeting history: summaries and transcripts from previous meetings with the same accounts and contacts
  • Past email communications: relevant email threads with the attendees
  • Open and in-progress tasks: action items tied to the opportunity
  • Your organization’s onboarding answers: your business model, target customers, value proposition, and sales process
Reevo also classifies the meeting (e.g. first meeting, active deal, customer meeting) and adapts the depth and format of the prep based on how much context is available.
The richer your CRM data, the more targeted your prep will be. If you see a “Get even better meeting prep” banner, completing your Organizational Profile significantly improves results.

How To Access Pre-Meeting Prep

Accessing Pre-Meeting Prep from the Meeting List

  1. Open Upcoming events from the left sidebar to see your meetings
  2. Find the meeting you want to prepare for in the list
  3. Click the View meeting prep button next to the meeting, or click the three-dot menu and select Meeting prep
  4. If this is your first time generating prep for this meeting, you’ll see a screen that says “Ready to craft your meeting strategy”

Accessing Pre-Meeting Prep from a Meeting Detail Page

  1. Open any upcoming meeting by clicking on it from your Upcoming events list
  2. Switch to the Meeting prep tab on the meeting detail page
  3. The tab will either show existing preparation or prompt you to generate new content

Generating Pre-Meeting Prep

  1. On the meeting prep page, click the Start preparation button
  2. You’ll see a message that says “Crafting your preparation” with status updates as the system works
  3. The generation process typically takes 30 to 60 seconds depending on the amount of context available
  4. Once complete, your preparation document will appear with organized sections

Improving Your Pre-Meeting Prep Quality

If you see a blue banner that says “Get even better meeting prep,” this means you can improve the quality of your preparation by answering questions about your business:
  1. Click the Answer questions button in the banner
  2. Complete the questions about your business, customers, target market, and sales process
  3. After submitting your answers, click Regenerate from the menu or generate prep again
  4. Your updated preparation will include more targeted insights and personalized strategies based on your responses

Regenerating Stale Preparation

If information has changed since you last generated prep (such as new meeting notes, updated contact information, or recent conversations):
  1. Click the three-dot menu in the top right corner of the meeting prep page
  2. Select Regenerate from the menu
  3. The system will regenerate your preparation with the latest information
  4. Wait for the new content to appear, which will replace the previous version

For meetings with extensive context, the preparation may include many sections:
  1. Scroll through the document to review all sections in order
  2. Look for bold headings to identify major sections and subsections
  3. Use your browser’s find shortcut (⌘F or Ctrl+F) to jump to a specific term

Troubleshooting / FAQs

Pre-Meeting Prep is only available for upcoming meetings that meet specific criteria. You’ll see a message explaining why if your meeting isn’t eligible. Common reasons include:
  • The meeting has no scheduled start time. Add a start time to the calendar event.
  • The meeting is marked as canceled. Reactivate the meeting if it’s back on.
  • The meeting is already completed. Pre-Meeting Prep is only for upcoming conversations.
  • The meeting is marked as private. Remove the private flag if you want to generate prep.
  • The meeting was marked as a no-show. Update the meeting status if this was incorrect.
  • The meeting is a phone call. Pre-Meeting Prep currently works best for video and in-person meetings.
  • The meeting is internal-only. If you see “Meeting preparation is only available for meetings with external participants,” add at least one external attendee (someone outside your organization) to the calendar event.
Pre-Meeting Prep is generated based on the information available at the time you click the button. If you’ve recently added notes, updated contact information, or had new conversations, regenerate your preparation to incorporate the latest context. Click the three-dot menu and select Regenerate to rebuild the prep with current data. The system will analyze all available information again and create an updated preparation document.
Yes. Pre-Meeting Prep content is fully editable inline. Click anywhere in the document to add notes, refine the AI-generated text, or insert your own talking points. Your edits are saved with the meeting. Regenerating the prep will replace the document with a fresh AI version, so copy out anything you want to preserve before regenerating.
If you see “Help us prepare better for your meetings” or “Get even better meeting prep,” this means your organization hasn’t completed the onboarding questions yet in the Organizational Profile page. These questions help Reevo understand your business model, target customers, value proposition, and sales process so it can provide more relevant and personalized preparation. Answering these questions significantly improves the quality of your meeting prep. You can also choose to generate prep without answering questions by clicking Generate with limited context, but the results will be more generic.
Generation typically takes 30 to 60 seconds. The system displays progress messages while working, such as analyzing past conversations, reviewing company information, and crafting your strategy. If generation takes longer than two minutes, try refreshing the page and generating again. If the problem persists, check your internet connection and ensure you have available AI credits.
The content varies based on what information is available in your CRM, but typically includes meeting objectives, key talking points tailored to the specific contacts and account, company background and recent news or developments, contact roles and relationships, potential objections based on past conversations, recommended questions to ask, and suggested next steps. The more complete your CRM data, the more comprehensive and useful your Pre-Meeting Prep will be.
No, Pre-Meeting Prep is designed specifically for upcoming meetings to help you prepare for future conversations. Once a meeting is marked as completed, Pre-Meeting Prep is no longer available. For past meetings, see the Post-Meeting Summary instead.
This message appears when the generation process completed but no content was produced. This can happen if there’s insufficient information in your CRM about the meeting, contacts, or account. To improve results, ensure the meeting has associated contacts and accounts, add notes from previous interactions, complete contact and account profiles with relevant details, and answer the organization onboarding questions if you haven’t already. Then try generating prep again.
Yes, generating Pre-Meeting Prep consumes both meeting prep credits and AI credits from your plan’s quota. Each time you click Start preparation or Regenerate, it counts as one generation and uses credits. However, viewing previously generated prep does not consume additional credits. You can access your existing preparation documents as many times as needed without using more credits.
If you see a message that says “You have reached your meeting preparation or AI credits limit. Please upgrade to continue,” this means you’ve used all the meeting prep credits or AI credits included in your current plan for this billing cycle. Contact your account administrator. Your existing meeting prep documents remain accessible even when you’ve reached the limit.
