Overview

Ready-made automation rules keep your CRM up to date as your team works, with no workflow building. Each rule waits for one moment, such as an account’s first activity or a closed-won deal, and then updates the record for you. An admin turns the rules on, picks the stages and statuses each one uses, and can copy any rule into a normal workflow to change it further. Rules live on the Automations tab of each object’s settings:
Only admins see the Automations tab. Rules use the stage, type, status, and pipeline options your org already has, so set those up first. See Account and Contact Lifecycle Stages and Contact Status.

The rules

This section lists 3 sets of rules, one per tab. The defaults shown are what Reevo picks when your org has stages and statuses with these names. You can change every one of them.

1. Account lifecycle stages

A rule only runs when the account is in one of its starting stages, so the rules move accounts forward and never undo each other.

2. Contact status rules

3. Opportunity creation rules

The rule skips rescheduled meetings and meetings already linked to an opportunity, so an account never gets more than one open opportunity from it. It starts on your default pipeline and its first open stage.

Turn rules on

  1. Open the Automations tab for the object.
  2. Click the switch on the rule set’s card to turn on every rule in it, or click Edit rules and turn rules on one at a time.
  3. Confirm in the dialog.
Rules run under the name of the admin who turned them on. Records they change show that admin as the editor in history, and opportunities they create show that admin as the creator. Another admin takes a rule over by turning it on again.
Rules react to activities, deals, and meetings from the moment they’re turned on. They don’t go back over records you already have. To bring existing accounts or contacts up to date once, contact Reevo support and we’ll run it for your organization.
Setting up a new workspace? When an admin finishes onboarding, Reevo turns on the account lifecycle and contact status rules with their defaults. The Meeting booked rule creates records, so it stays off until you turn it on.

Change a rule

Click Edit rules on the tab. Each rule shows the settings it uses, and changes save as you make them. To go back to Reevo’s settings, click Reset to defaults. Rules that are on stay on, rules that are off stay off, and rules you customized are left as they are.

Customize a rule in Workflows

When a rule needs more than its settings allow, copy it into a workflow you can edit:
  1. Click Customize in Workflows and select the rule.
  2. Click Create copy. The copy opens as a draft in the object’s automations folder on the Workflows page, for example Account automations.
  3. Edit the draft in the Workflow Builder and launch it.
The ready-made rule keeps running until the copy launches, then turns off and shows as Customized. Improvements Reevo makes to the rule later don’t apply to your copy. To use the ready-made rule again, delete the workflow in Workflows, then turn the rule back on.

See a rule in Workflows

Once a rule has been turned on, it also appears in its automations folder on the Workflows page, so you can see its steps and open its run history. These ready-made workflows are read-only there. To change one, click Manage in settings, which opens its Automations tab.

Troubleshooting / FAQs

Yes. Each rule run counts as a workflow run. If your workspace has no workflow credits, or has used them up for the period, the Automations tab shows a banner with a link to your usage. Rules that paused while credits were used up stay paused; once credits are restored, click Edit rules and choose Resume rule for each.
The tab is only shown to admins. Ask an admin in your workspace to open it.
A rule that uses an option blocks deactivating it. The dialog names the rule as Lifecycle rule and links to its Automations tab. Change the rule to use a different option, then deactivate it.
Check that the account was in one of the rule’s starting stages when the event happened, and that the rule was on at the time. Rules don’t apply to activities or deals from before they were turned on. If Enforce account stage entrance criteria is on, the account must also meet the target stage’s criteria.
